Holiday Office Closures and Union Notice

UC DAVIS: OFFICES OF THE CHANCELLOR AND PROVOST

November 01, 2011

This year, the seasonal administrative holidays fall on Monday, December 26; Tuesday, December 27; Friday, December 30; and Monday, January 2. Winter quarter begins on Friday, January 6, 2011. Unit heads who wish to close their offices or reduce office hours on additional days surrounding the holiday dates may do so, with the approval of their dean or vice chancellor. Departments that are approved to close for the holidays are encouraged to provide alternative means to address urgent business matters that may arise during the holiday closure. Examples of measures may include signage and voicemail greetings describing contact information for those with urgent business needs.

If a unit is closed, employees may use accrued vacation and compensatory time off, or leave without pay. Personnel policy and collective bargaining agreements also provide that a unit head may grant an exception to permit employees (including probationary employees) to use up to 3 days of vacation leave prior to the time it is accrued. If an employee does not want to use vacation, compensatory time off, or leave without pay, units may permit the employee to work during the closure.

Human Resources has issued a call to campus units seeking information on planned temporary holiday business closures for the purpose of noticing the labor unions. If you have not already done so, please contact Christine Wolle, Collective Bargaining Coordinator (530-752-6664 or cewolle@ucdavis.edu), with information as to your department’s temporary holiday curtailment schedule and restrictions of staffing/scheduling, or with your concerns or for further clarification.

Approval and distribution of directives will be suspended during the Thanksgiving and winter holidays. Directives submitted after Tuesday, November 15 will be reviewed the week of November 28 and distributed in the December 2 Friday Update. Directives submitted after Tuesday, December 20 will be reviewed the week of January 3 and distributed in the January 6 Friday Update.

Davis campus mail service will be suspended during the holiday dates. If your office requires mail delivery on December 28 or 29, will-call service is available from the Mail Division between 8:30 a.m. and 5:00 p.m.  (http://maildiv.ucdavis.edu/about/location.cfm). Special Messenger service is available on a recharge, first-come, first-served basis (http://maildiv.ucdavis.edu/forms/SpecMsgrReq.cfm). Mail Service at UC Davis Health System will be unchanged. Please contact Jennifer Carmichael (jdcarmichael@ucdavis.edu) for questions pertaining to Davis campus delivery, or Loren Jenkins (lpjenkins@ucdavis.edu) at UCDHS.
