RE: Changes in Approval and Distribution of Directives

Effective April 4, 2008, the process for departments to submit directives 
for approval and distribution will change. In an effort to minimize the 
number of mass emails employees receive in their inboxes, all directives 
will be distributed as part of a weekly UC Davis Friday Update email 
newsletter published by University Communications News Service starting 
April 11, 2008. 

In order for a directive to be included in the weekly newsletter, the 
department responsible for the information must submit it to the Campus 
Policy Coordinator for approval by noon the Friday a week prior to the 
Friday of desired distribution. As in the current process, the Campus 
Policy Coordinator will return any needed edits or corrections to the 
department along with an approval form for distribution. The department 
must complete the required changes, and then submit the directive and 
approval form to directives@ucdavis.edu by noon on Wednesday the week 
of the desired distribution. The Friday newsletter will contain the 
directive subject line and a link to the directive posted online at 
http://directives.ucdavis.edu.

To facilitate the transition to the new approval and distribution process, 
directives will be distributed in their current fashion through noon on 
Friday, April 4. Directives submitted to the Campus Policy Coordinator for 
approval after noon on April 4 through noon on April 11 will be distributed 
in the April 18 newsletter.

The email newsletter will be sent to all UC Davis faculty and staff, so 
department staff will not need to forward these communications to their 
employees. However, department heads are still responsible for ensuring 
that any employees who do not have access to email receive information of 
which they should be aware.

As described in Policy and Procedure Manual Section 310-30, communications 
sent as directives are limited to communications that include information 
that affects campus business operations. The procedures described in the PPM 
will be updated to reflect the changes described above.
