UC DAVIS: Accounting and Financial Services November 5, 2007 DEANS, DIRECTORS, DEPARTMENT CHAIRS, AND ADMINISTRATIVE OFFICERS (DAVIS CAMPUS ONLY) RE: New Purchase Delegation for Office Furniture Effective immediately, campus departments are authorized to purchase office furniture up to $500 directly from non-agreement suppliers. Acceptable methods for making such purchases include a DaFIS Departmental Purchase Order (citing an OV order type and commodity code 706XX-1) or campus Purchasing Card. PPM Section 350-21 will be updated to reflect this change. The $500 dollar limit includes tax, freight, and handling charges. Purchases cannot be artificially divided to remain under the $500 limit. Departments should evaluate the total cost of placing orders (see PPM 350-21, II.B), and the quality and durability of the product. Ergonomic considerations, especially in regards to seating and work surfaces, should also be an important part of any decision. This purchase delegation is being implemented to help meet the wide variety of non- agreement office furniture needs on campus. The process at http://furniture.ucdavis.edu/ordering.cfm for ordering furniture from established agreements, without limit, remains the same. Questions or assistance in selecting or purchasing office furniture should be directed to the Furniture Program at (530)754-5856. In addition, this new delegation for office furniture does not change the procedure for campus departments to purchase non-office furniture items using appropriate purchase delegations or by submitting the request on a DaFIS Requisition (PR). Examples of such items include, but are not limited to, laboratory and archival open shelving, coffee/end tables, couches and sofas, outdoor furniture, laboratory casework, and computer lab work surfaces.
