UC DAVIS: INFORMATION AND EDUCATIONAL TECHNOLOGY May 10, 2007 Deans, Directors, Department Chairs, and Administrative Officers Academic Senate Members and Academic Federation Members RE: Upgrade of UC Davis' Email Architecture Begins May 23 Beginning May 23, 2007, Information and Educational Technology (IET) will deploy a new email architecture system, Cyrus, that will improve email performance and user response time, allow faster access to mailboxes by Web-based email programs, and improve the system's storage of messages. All email accounts on the "color" servers - Tan, Blue, Scarlet, etc. - will be migrated to Cyrus. Accounts on the campus Exchange service, as well as accounts on departmental mail servers, will not be migrated. If users and technology support staff would like to determine which email server a person has been assigned, and whether the account has been migrated, a utility called the Mail ID Detective is available in the left navigation menu at http://email.ucdavis.edu/. The transition to Cyrus is expected to be transparent for the majority of accounts migrated. One group of email users (approximately 1,100) will need to change a specific setting within their email program once they have been migrated. These users, and their technical support staff, will receive a separate email from IET with detailed instructions prior to their accounts being migrated. These instructions will be available on the IT Express Web site as well (see "Changing your IMAP Settings for Cyrus," at http://xbase.ucdavis.edu/1526). The migration will be conducted "live," meaning there will be no server downtime. Instead, each user will experience a momentary unavailability of email, lasting from 1 to 5 minutes (depending on the size of their mailbox), while their individual email account is transferred to the new system. These "live" migrations will be performed weekdays between 6 p.m. and 7 a.m. and on weekends from Friday at 6 p.m. through Monday at 7 a.m. to be the least disruptive to the campus. It is expected that the migration to Cyrus will continue through spring quarter and into summer, with breaks for critical events such as finals and grading. Regular communications will be provided to campus technical support staff. Targeted emails will be sent to each campus email user who will be affected by the migration. A Web site has also been created to provide additional information about Cyrus (see http://vpiet.ucdavis.edu/email.storage.cfm). IET consulted many campus groups regarding the implementation of Cyrus, including Technology Infrastructure Forum (TIF) Steering Committee; TIF Client Services Issues Subcommittee; Technology Support Program; Technology Infrastructure Forum; and the Campus Council for Information Technology (CCFIT).
