UC DAVIS: Office of Administration March 19, 2007 DEANS, DIRECTORS, DEPARTMENT CHAIRS, AND ADMINISTRATIVE OFFICERS RE: Purchase and Use of Cellular Phones and Other Portable Electronic Resources On March 1, 2007, UC Office of the President revised Business and Finance Bulletin G-46, Guidelines for the Purchase and Use of Cellular Phones and Other Portable Electronic Resources, to include the following clarifications. ***** The usage agreement in Appendix A has been revised to state that an employee furnished with electronic communications equipment (e.g., a cellular phone) "will exercise appropriate care and caution when using the equipment." Employees who signed the earlier version of the EMPLOYEE AGREEMENT CONCERNING THE USE OF ELECTRONIC COMMUNICATIONS RESOURCES should sign the new version found at http://purchasing.ucdavis.edu/forms/PUR_ElecCommAgrmt.doc. ***** Section VII (Employees) retains the language that the employee is expected to "avoid using the equipment . . . while operating a motor vehicle." However, emergency personnel are now exempt from this requirement, as is any employee who uses a cellular phone for emergency purposes. ***** Section V.D (Reimbursement of Non-incidental Personal Use) now states, "both the employee and his or her department should annually review the (cellular phone or similar service) contract to ensure that the employee is utilizing the most cost-effective plan. If the employee is consistently underutilizing the plan minutes to make business calls, the employee should be moved to a plan with fewer minutes." ***** Section V.E (Reimbursement of Business Use) has been revised to permit the reimbursement of Internet and similar services purchased by an employee when it would not be practicable or cost-effective for the University to purchase such services separately.
