UC DAVIS: ACCOUNTING & FINANCIAL SERVICES May 4, 2006 DEANS, DIRECTORS, DEPARTMENT CHAIRS AND ADMINISTRATIVE OFFICERS RE: Implementation of General Ledger Review Function in DaFIS DS UC Davis Policy & Procedure Manual (PPM) Section 330-11 requires units to review their general ledger (GL) monthly and certify the validity of the charges and credits appearing in their accounts. A new GL Review function was added to DaFIS Decision Support (DS) in summer of 2004 to provide a more efficient way to complete this review. Beginning July l, 2006, all campus and School of Medicine units (excluding Chart H) will be required to use the new GL Review function to perform their monthly general ledger review and certify the validity of their charges and credits. Chart H units will be given until January 1, 2007. (Note: This review does not apply to payroll ledgers.) PPM Section 330-11 will be updated accordingly. Based on our pilot, users on average reported a 60% reduction in the time required to complete their reviews. The GL Review function can significantly reduce workload through the following features: * Auto-annotation automatically marks transactions as valid when pre-defined conditions are met. * Statistical sampling of low value transactions can significantly reduce the number of transactions to be reviewed. * Online review enables the ledger review to be performed throughout the month eliminating the month-end peak in workload. * Electronic certification eliminates the need to prepare and store paper certification forms. * Reviewing the ledgers in DS eliminates the need for units to print and file copies of the GL.
