UC DAVIS: ACCOUNTING & FINANCIAL SERVICES December 5, 2005 DEANS, DIRECTORS, DEPARTMENT CHAIRS AND ADMINISTRATIVE OFFICERS RE: Appropriate Use of the University Mail System This directive serves as a reminder of UC Davis Policy & Procedure Manual Section 310-15, which stipulates that the "campus mail service is to be used exclusively for official University business." The Mail Division reports that personal mail continues to be routed through the campus mail system including seasonal greeting cards, residential utility bills, voting ballots, and mortgage coupons. This is a violation of University policy, and strains already limited mail resources, which in turn delays the distribution of official University-related mail. Delays can have serious consequences such as slower turnaround of vendor payments and assessment of late fees causing a loss of University discounts. Please remind faculty, staff and students of their obligation to not send any personal items through the University mail. The ASUCD Post Office is an official contract station for the US Postal Service and with few exceptions offers the campus community the same services as any US Post Office. In addition, please reference maildiv.ucdavis.edu/general/personal.cfm, which lists postal boxes that exist at numerous locations around campus for outgoing mail.
