RE: Holiday Office Closures and Bonus Leave

This year the seasonal administrative holidays fall on Friday and Monday, 
December 24 and 27, and Thursday and Friday, December 30 and 31.  Winter Quarter 
begins on Monday, January 3, 2004.

As in previous years, unit heads who wish to close their offices or reduce 
office hours on days surrounding the holiday dates may do so, with the approval 
of their dean or vice chancellor.  Units that are approved to close for the 
holidays are encouraged to provide alternative means to address urgent business 
matters that may arise during the holiday closure.  Examples of measures may 
include signage and voicemail greetings describing contact information for those 
with urgent business needs.

This year, the University is providing a two-day paid bonus leave on December 
28-29 to employees covered by staff personnel policy.  The University and the 
unions are currently negotiating an extension of this program to represented 
employees.

If you decide to close a unit, employees who are covered by personnel policy or 
a union contract that includes a bonus leave agreement must use the bonus leave 
on December 28 and 29.  Employees who are not covered by the bonus leave program 
are covered by the "curtailment" provisions of the applicable personnel policy 
or union contract; i.e., they may use accrued vacation, compensatory time off, or 
leave without pay.  Employees (including probationary employees) who do not have 
enough accrued leave may use up to 3 days of vacation leave prior to the time it 
is accrued.

You may determine based on business needs that some of the employees eligible for 
bonus leave are required to work on December 28-29.  The deans and vice chancellors 
have the delegated authority to approve alternate bonus leave between December 1, 
2004, and January 30, 2005, days for these employees.

leave is being developed and will be posted on the site shortly.
