UC DAVIS: ACCOUNTING & FINANCIAL SERVICES November 22, 2002 DEANS, DIRECTORS, DEPARTMENT CHAIRPERSONS, AND CAMPUS/UCDMC ADMINISTRATIVE OFFICERS Re: Use of University Mail System for Season's Greetings As a reminder, please note that seasonal greeting cards should not be sent from one individual to another through the University mail system, nor should personal cards with U.S. postage be sent via the University mail system. U.S. Postal Service boxes are located on campus for personal mail. Policy and Procedure Manual Section 310-15 states that the University mail service is to be used exclusively for official University business. Materials that do not comply with the policy may be opened and returned to the originator. In addition, greeting cards may not be sent from department to department. Also, such cards are not to be sent to State or Federal agencies or to other UCD or UC units. In the past, a Universitywide policy prohibited sending any type of season's greeting cards. In November 1987, based on information from the Office of the President, vice chancellors and deans were informed that UCD units may send greeting cards for public relations purposes only, such as to donors, community leaders, and friends of the University, with the prior approval of the appropriate vice chancellor or dean, so long as State funds are not used for the printing, purchase, or mailing of the cards.
