Re: New contract for public access photocopiers

UC Davis has just concluded negotiations and entered into a contract with an off
campus vendor to provide, install, and service new coin/debit card photocopy machines
in the General Library, the Law Library, the Memorial Union, and several other public
service areas. The photocopiers are expected to be installed the weekend of
August 1-3. A total of 64 machines are included in the bid.

The administration of the contract is the responsibility of campus CCS/Repro Graphics,
while a team represented by the ASUCD Business Office, the General Library, and
CCS/ Repro Graphics will meet monthly to discuss larger issues which emerge.

Because debit cards used with copiers now in place will not be compatible with the
equipment supplied by the new vendor, holders of those cards MUST turn them in to
the location they bought them in order to obtain a refund or receive credit for their
unused value prior to August 1, 1997.
Cards bought in the Law Library, Shields Library or the ASUCD Main Office should be
returned to ASUCD (Room 21 South Hall).

Cards bought in the Physical Sciences Library should be returned to the PSL
circulation desk.

Cards bought in the Carlson Health Sciences Library should be returned to the
CHSL copy service area.
New style vendor cards will be available the first week of operation (August 4-9, 1997).

The advantages of the new contract are many:
46 new, highly reliable book copiers (Sharp, Model 2040) in campus libraries.
One hour response to service calls during normal business hours and two hour
response during all evening and weekend hours in campus libraries.

Convenient debit cards that allow the patron to receive discounted copies. As an
example, a $5 card will provide copies at .09 while a $20 card will provide copies
at .067.

Patrons will be able to use the same debit card in all machines supplied by the new
vendor under the contract.

Campus departments will continue to be able to place phone orders with a University
four digit ID (or DaFIS equivalent account number).

A three year contract that allows the University to rebid if not completely satisfied.
Coin access to machines is maintained but at .10 per copy.

Guaranteed (by contract) 95% up-time on all machines.

An increase in the number and sophistication of debit card dispensers and change
makers in campus libraries.
The new contract will run through June 30, 2000 with two renewable extensions (at the
option of the University). Questions can be directed to Mark Champagne, ASUCD
Business Manager (752-1990), George Bynon, Associate University Librarian (752-2110),
or Lois Unger, Director, Creative Communication Services (752-2047).
