RE: Fiscal Closing 1996-97 Instructions
Fiscal closing for this fiscal year will coincide with conversion and
implementation preparations for a July 1, 1997 start-up of the campus
financial information system, DaFIS. It is fortunate that several
streamlining efforts were implemented during last year?s fiscal close and
any time-savings can certainly be used towards all of our conversion
efforts. Following are fiscal closing highlights:
· With few exceptions, fund balances will not be drawn off at fiscal close;
fund balances will be reappropriated in the new fiscal year in the DaFIS
object consolidation outlined in Attachment II. This applies to credit and
overdraft balances. An outline of the reappropriation plan is attached.
This process eliminates the need for many encumbrances previously employed
to carry forward funds (e.g., service department liens, Notice of
Unrecorded Expenditures, Notice of Unrecorded Liens).
· Carry forward requests are required in the situations outlined in
Attachment III.
· Review the May ledgers carefully and process any necessary adjustments.
Accepted accounting principles dictate the matching of revenues and
expenditures in the period incurred. Achieving this on a monthly basis
reduces workload at fiscal year-end. Process all 1996-97 business as soon
as possible.
· Please review Attachment I for deadlines for submission of transactions.
